Budget Settings - Timberline Estimate

Note - This tab is only visible if your license includes the optional add-on interface that allows budgets to transfer from Sage Timberline Office to Prolog Manager.

Prolog Budget (Source)

The Original Estimate values in Timberline will be synchronized to match the budget value stored on the Budget record in Prolog.  This setting allows you to specify which budget value in Prolog to base the synchronization on.  The following options are provided:
Original Budget
This is the Original Budget value entered in Prolog and does not include any changes made via the budget fields in Potential CO Items.
Current Budget
This is the Curernt Budget value in Prolog that consists of the Original Budget plus any changes made via the budget fields in Potential CO Items.  Selecting this option will cause the Original Estimate in Timberline to match the Current Budget.  Although the total in Timberline will match, individual changes made via Potential CO Items will not be itemized in the Timberline data.

Send Estimates For

The options under this setting consist of two checkboxes; Job and Extra.  If the Job checkbox is checked then budgets will be transferred from Prolog Manager to Sage Timberline Office for any Budget Codes that contain a zero value in Budget Group mapped to the Timberline Extra field.  If the Extra checkbox is checked then budgets will be transferred from Prolog Manager to Sage Timberline Office for any Budget Codes that contain a non-zero value in the Budget Group mapped to the Timberline Extra field.  When used in conjunction with the optional add-on interface that allows budgets to flow from Prolog Manager to Timberline Job Cost, these settings can be used to allow budgets to flow in one direction for the base job and in a different direction for Extras.

Estimate Adjustments

The comparison of the Original Estimate in Job Cost to the budget value in Prolog Manager is performed by accumulating Job Cost transactions of the type 'Original estimate'.  The total of the accumulated transactions is compared to the budget value in Prolog Manager to determine if there is a difference that should result in an update to the estimate in Timberline.  

Check for adjustments to estmiate in Job Cost

If this box is checked, then the the date of the transactions is checked to determine if estimate transactions in Timberline may represent changes to the estimate that were recorded in Timberline directly.  This allows for manual adjustments to be made to the estimate in Timberline and potentially ignored for the sake of comparison to Prolog.

Estimate entries after

A list of date fields stored by Job is provided in this box.  Select the date to which the transaction date should be compared against to determine if it is an adjustment to the original estimate.

Response

Select an option in this box to specify how an adjustment should be handled.  The following options are available:
Warning only
The recap report will include a warning message indicating that the Original Estimate in Timberline does not match the budget value from Prolog due to one or more adjusting entries that were found to be dated after the date specified for the job.  No changes will be made to the Timberline estimate amount to correct this difference.
Adjust
Adjusting entries will be created in Timberline to force the Original Estimate in Timberline to match the Prolog budget value.  A message will appear on the recap report indicating that an adjustment of this nature was made.
