Budget Settings - Prolog Budget

Settings / Budget Settings

Prolog Budget Amount

When this box is checked an arrow will be displayed indicating that the Prolog Budget Amount (Original Budget) will be updated to equal the Timberline Estimate Amount (Original Estimate).  If this box is not checked (does not display an arrow), no budget amounts will be transferred from Timberline Job Cost to Prolog Manager.

Prolog Budget Hours

When this box is checked an arrow will be displayed indicating that the Prolog Budgeted Hours will be updated to equal the Timberline Estimated Labor Hours (Original Estimate).  If this box is not checked (does not display an arrow), no budgeted hours will be transferred from Timberline Job Cost to Prolog Manager.

Prolog Budget Quantity

When this box is checked an arrow will be displayed indicating that the Prolog Budgeted Quantity will be updated to equal the Timberline Estimated Units.  If this box is not checked (does not display an arrow), no budgeted units will be transferred from Timberline Job Cost to Prolog Manager.  There are two potential sources for estimated units in Timberline Job Cost:
Cost Units
If Job Cost is configured to track categories, cost units are tracked for each category (such as Labor, Material, Subcontract, Equipment, etc).  If Job Cost is not configured to track categories, cost units are tracked for each cost code.  For labor and equipment codes, cost units typically represent labor hours (but not always).  For other types of codes, cost units may be used to track items that are purchased.
Production Units
These units are always tracked by cost code regardless of whether Job Cost is configured to track categories or not.  Production Units represent the units of output.  Examples would be linear fee, square feet, cubic yards, etc.  The relationship with cost units suggests that cost units represent the components required to produce a production unit.

Map as category

When Job Cost is configured to track categories, the structure of a Job in Timberline Job Cost is hierarchical.  This means that a given cost code acts like a parent record to category records (the children).  Some values, such as Production Units, are tracked only at the parent level.  Prolog Manager, in contrast, does not have a hierarchical structure.  Therefore each budget code record in Prolog represents the greatest level of detail.  That level would be equivelant to the categories in Timberline Job Cost when categories are tracked.  There can therefore be a one to many relationship between a given Timberlne Cost Code and the Prolog Budget Codes (because there will be a budget code for each Timberline category.
If the Original Budget Quantity field in Prolog Manager will be populated using the Estimated Production Units field from Job Cost, this field may be specified.  If this field is left blank, then each budget code record in Prolog Manager that is related to the same Timberline cost code will receive the same value for Original Budget Quantity.  Alternatively, this field may specify a specific Timberline category.  If this is the case, then only the budget code related to the Timberline cost code and that has the specified category ID will be populated with the Estimated Production Units value.
In the examples below, there is a value of 1,000 LF in the Estimated Production Units field for Timberline cost code 01-040.  Below the cost code, there are four categories; EQU, LAB, OTH and SUB.  The examples below show how the Original Budget Quantity field in Prolog Manager will be populated depending on whether a category is specified in the Map as category setting.

Example 1 - No value for Map as category field

Budget Code Original Budget Quantity
01-040.EQU 1,000 LF
01-040.LAB 1,000 LF
01-040.OTH 1,000 LF
01-040.SUB 1,000 LF

Example 1 - Map as category value set to LAB

Budget Code Original Budget Quantity
01-040.EQU
01-040.LAB 1,000 LF
01-040.OTH
01-040.SUB

Receive Budgets From

The options under this setting consist of two checkboxes; Job and Extra.  If the Job checkbox is checked then budgets will be transferred from Timberline Job Cost to Prolog Manager for any cost codes under the base job (where the cost codes do not identify an Extra).  If the Extra checkbox is checked then budgets will be transferred from Timberline Job Cost to Prolog Manager for any cost ocdes under Extras (where the cost codes identify an Extra).  When used in conjunction with the optional add-on interface that allows budgets to flow from Prolog Manager to Timberline Job Cost, these settings can be used to allow budgets to flow in one direction for the base job and in a different direction for Extras.
